Saving Your Work

While each application you work in is a little different, the process of saving files is quite similar. From your application, click on the "File" menu on the top left of the program window, and choose "Save" or "Save As" from the drop down menu. If this is the first time you have saved this file or you chose "Save As", you will see a "Save As" pop-up window. On the top of the pop-up window will be a "Save In" drop down box. Choose one of the following options from this box:

1. Network Location

The "Z" Drive - This is where most people save their work. SUNY Broome performs a backup of these files every weekday night. The work that you save in this space, if needed, can be restored from backup tape (Please visit B-121 for Restore Files Sheet). This drive will be listed near the bottom of the list as ie, "publicj999 on Atlas (Z:)"). Note: All data on the Z: drive is deleted at the end of each semester, so you may want to save these files to removable media before the end of the semester.

2. Removable Media

A. Thumb Drive - The removable disk (usually the E: or F Drive:), known as a Thumb or Flash Drive, connects to a computers’ USB port. These devices are becoming very popular for storing data files, as they are small in size but large in storage capacity. They are inexpensive, portable, and easy to use on just about any computer. Just plug the USB Thumb/Flash Drive into any USB port, wait a few seconds, and you will be able to save to it. The average Thumb Drive holds 1 GB, and can store hundreds of files and photos.

After choosing the option you wish to use, type a name for the file in the "File Name" box at the bottom of the pop-up window. Click the "Save" button on the bottom of the pop-up window to complete the save process.

 

B. CD/R - This is available only if the computer you are using has a CD drive for writing CDs. Although there are many options the simplest is the CD/R for writing up to 700 MB of data. Please see the HelpDesk for assistance.

• Tips for Accessing Your Home Word Processing Documents on Campus Computers:
Save your documents in the "Rich Text Format" (.RTF). Since most word processing programs support this format, this is the best way to ensure that your paper will be readable on a campus computer. To save in Rich Text Format click File, Save As, and in the Save File As Type drop down menu, choose Rich Text Format (.RTF).

Microsoft Works documents may also be saved as a Microsoft Word (.DOC) document. Click File, Save As, and in the Save File As Type drop down menu, choose Microsoft Word (.DOC).

For those who have Office 2007 or Office 2010 and are concerned that someone with an older version of Office may not be able to read their documents, you can choose "Save As" from the Office menu in the upper left corner and then choose "Word 97-2003 Document" format. Note: Any campus computer that may not have Office 2007 should have the Office 2003 Compatibility Pack installed on it to allow the user to open files that have been created in the newer Office 2007.

• Using FTP (File Transfer Protocol) to copy your file to SUNY Broome.
FTP is used to copy files between an off-campus computer and the "Z" drive. You must have an Internet connection on the off-campus computer to use FTP with the "Z" drive. SUNY Broome uses a secure FTP connection to ensure your data is not open to the public. To use this servier connection you must log in through the Apps server at http://apps.sunybroome.edu.
